Welcome to Coffee Vendors Market. By applying to become a vendor on our marketplace, you agree to comply with the following terms, policies, and vendor requirements.

Our goal is to create a supportive marketplace for independent coffee roasters, tea companies, specialty beverage brands, coffee accessory vendors, and related businesses.

1. Vendor Eligibility

To sell on Coffee Vendors Market, vendors must:

  • Operate a legitimate business or authorized resale operation
  • Provide accurate business and contact information
  • Comply with all local, state, federal, and international laws applicable to their products
  • Agree to these marketplace terms and policies

Coffee Vendors Market reserves the right to approve, deny, suspend, or terminate vendor accounts at its discretion.

2. Vendor Product Requirements

All vendors are responsible for ensuring their products:

  • Are accurately described
  • Contain correct pricing and shipping information
  • Meet applicable food safety, labeling, and packaging requirements
  • Comply with all applicable laws and regulations

Prohibited products include:

  • Counterfeit or trademark-infringing products
  • Illegal or restricted items
  • Misleading or falsely advertised products
  • Products that violate marketplace policies

3. Order Fulfillment & Shipping

Vendors are fully responsible for:

  • Processing and shipping customer orders on time
  • Providing valid tracking information when applicable
  • Packaging products securely and professionally
  • Maintaining accurate inventory levels
  • Communicating professionally with customers

Vendors may fulfill orders directly or use approved dropshipping or print-on-demand partners where permitted.

Failure to fulfill orders properly may result in listing removal, account suspension, payout holds, or account termination.

4. Returns, Refunds & Customer Service

Vendors must:

  • Clearly state return and refund policies
  • Respond to customer inquiries in a timely manner
  • Resolve customer issues professionally and fairly

Coffee Vendors Market reserves the right to intervene in unresolved disputes when necessary.

5. Vendor Payments, ACH & W-9 Information

Coffee Vendors Market collects payment from buyers at checkout and releases vendor payouts after applicable marketplace fees, processing fees, and adjustments are deducted.

ACH Vendor Payments

Vendor payouts are processed through ACH bank transfer whenever possible.

To receive payouts, vendors may be required to submit:

  • A completed W-9 form
  • Valid ACH banking information
  • Additional verification information if requested
  • Get  a  Free  copy  of  W-9 From  IRS  website

Vendor payouts are generally processed weekly. Vendors are responsible for ensuring that all payout information remains accurate and up to date.

Coffee Vendors Market may delay or hold payouts when necessary for fraud prevention, unresolved disputes, refunds, chargebacks, policy violations, or verification purposes.

6. Marketplace Fees & Taxes

Vendors agree to all applicable marketplace subscription fees, transaction fees, and payment processing fees associated with their selected vendor plan.

Sales Tax Collection

Coffee Vendors Market currently collects applicable Kansas sales tax on qualifying orders where required.

Vendors remain responsible for understanding and complying with their own tax obligations, including income taxes, VAT, GST, and any applicable sales tax obligations within their own jurisdiction.

7. Vendor Content & Branding

Vendors are responsible for all uploaded content, including:

  • Product images
  • Descriptions
  • Logos
  • Store branding
  • Marketing content

By uploading content to the marketplace, vendors confirm they own or have permission to use that content.

Coffee Vendors Market reserves the right to remove content that violates intellectual property rights, marketplace policies, or applicable law.

By listing products on the marketplace, vendors grant Coffee Vendors Market permission to use product images, store names, and related branding for promotional and marketing purposes connected with the platform.

8. Prohibited Conduct

Vendors agree NOT to:

  • Engage in fraud, spam, or deceptive marketing
  • Misrepresent products or ingredients
  • Harass customers or other vendors
  • Attempt to avoid marketplace fees
  • Direct customers off-platform for fee avoidance purposes
  • Violate intellectual property rights

Violations may result in listing removal, payout holds, account suspension, or permanent account termination.

9. Marketplace Rights

Coffee Vendors Market reserves the right to:

  • Remove listings that violate marketplace rules
  • Suspend or terminate vendor accounts
  • Modify marketplace features, fees, or policies
  • Refuse service where necessary

We do not guarantee any minimum level of traffic, sales, search engine rankings, or marketplace visibility.

10. Limitation of Liability

Coffee Vendors Market operates as an online marketplace platform and is not responsible for vendor products, fulfillment, labeling, shipping delays, or customer disputes arising from vendor conduct.

Vendors agree to hold Coffee Vendors Market and its operators harmless from claims arising from their products, business operations, customer interactions, fulfillment practices, or legal compliance obligations.

11. Agreement & Acceptance

By applying as a vendor, you confirm that:

  • You have read and understood these terms
  • You agree to comply with marketplace policies
  • You are legally authorized to operate your business

These terms may be updated periodically. Continued use of the marketplace constitutes acceptance of future updates and policy changes.
